Job Title:  Information Resource Assistant (administrative)

Supervisor’s Title:  Director of Administration

Status:  Non-Exempt (part-time)

Location:  Orange County - this position depends upon the ability of the employee to work closely with attorneys and staff members during regularly scheduled hours.

 

General Summary:  Under direction, perform administrative tasks and ensure library is maintained in an orderly manner.

 

1.       Perform duties including mail, routing and photocopying.

1.1.  Open, sort, and process all incoming mail for library.

1.2.  Route current tables of contents, etc. to attorneys for awareness.

1.3.  Record all incoming periodicals, journals, gazettes and books.

1.4.  Locate missing books and reference materials.

1.5.  Prepare and mail letters to publishers regarding orders, returns and requests.

 

2.       Perform duties including email and journal routing

2.1.  Route electronic email news alerts

2.2.  Route and track journal publications

2.3.  Route current tables of contents, etc. to attorneys for awareness.

 

3.       Maintain library in an orderly manner.

3.1.  Shelve all incoming new and returned books and materials.

3.2.  Collect books from floor drop points according to schedule.

3.3.  Stock supplies in study rooms.

3.4.  Ensure work areas in the library are neat and orderly.

 

4.       Work on special projects.

4.1.  Maintain expense report for reimbursement and client billing.

4.2.  Assist with overflow reference related request as needed.

4.3.  Other duties as assigned by supervisor.

 

Required Knowledge, Skills & Abilities:

1.       Ability to organize library with ability to analyze daily situations in order to perform job in most efficient way possible.

2.       Ability to use MS Word and email.

3.       Type 40 wpm.

4.       Ability to work effectively with minimal supervision after initial training.

5.       Ability to pay attention to detail, follow procedure and work effectively with others.

6.       Ability to lift, carry and push 25 pounds.

 

Education and Experience:

Previous experience working in a library is highly desirable.
