Job Title: Part-Time Evening Receptionist/Facilities Clerk Job Hours: 2:00 - 6:00 p.m., Monday through Friday Supervisor: Office Administrator, Facilities Supervisor Status: Non-Exempt (part-time) Location: San Diego - this position depends upon the ability of the employee to work closely with attorneys and staff members during regularly scheduled hours.
General Summary: Responsible for greeting and assisting callers and visitors as well as general clerical work as assigned. This position requires the ability to work overtime, which often cannot be predicted in advance.
Responsibilities and Duties: 1. Answer incoming calls on switchboard. 1.1. Screen and route calls to appropriate party.
2. Greet visitors, vendors and job applicants, notifying appropriate party of their arrival. 2.1. Ensure neatness of lobby area and conference rooms. 2.2. Monitor reception area so that non-employees are not permitted into office without being identified. 2.3. Receive deliveries and route according to established procedure.
3. Maintain office security. 3.1. Monitor reception area so that non-employees (other than cleaning crew) are not permitted into office without escort by an employee. 3.2. Notify building security, police and/or office management of emergency or security problems as required.
4. Close office at end of shift. 4.1. Place switchboard on night mode. 4.2. Lock doors having access to hallways on all floors.
5. Assist Copyroom Attendant 5.1. Photocopy, fax and mail items as required. 5.2. Deliver faxes as required. 5.3. Assist with stocking of all office and paper supplies at printer stations and copy rooms. 5.4. Process mail, Federal Express, Express Mail, faxes, telexes, packages and related forms of outgoing and incoming communications. 5.5. Pick up and/or drop mail at designated location. Apply postage to outgoing mail. 5.6. Distribute incoming and outgoing mail, faxes and telexes in a timely manner. 5.7. Deliver outgoing communications such as Federal Express and Express Mail to appropriate drops in a timely manner.
6. Assist Fileroom Attendant 6.1. File correspondence and other materials in appropriate client file. 6.2 Utilize computer database and electronic mail to track file information.
7. Miscellaneous 7.1 Schedule use of conference rooms as needed. 7.2. Utilize computer database and electronic mail to track file information. 7.3. Complete typing and filing projects as assigned by supervisory personnel. 7.4. Provide back up housekeeping and catering duties as requested. 7.5. Other duties as assigned by Supervisor.
Required Knowledge, Skills & Abilities: 1. Ability to work PBX system. 2. Ability to work with personal computer and typing speed of 30 wpm. 3. Ability to work without direct supervision for 75% of the job after training period. 4. Ability to manage clients, vendors and employees in a courteous manner. 5. Must be able to lift and carry up to 20 pounds.
Education and Experience: Previous reception and office clerical experience is preferred. For purposes of taking clear messages, high school level English and spelling is required.
